Vendor Information & Operations Guide

October 2–4, 2026

Before you go: vendor information and operations guide

Thank you for participating in the 2026 World's Largest Garage Sale®. For more than 45 years, the sale has welcomed thousands of shoppers and hundreds of vendors from throughout the Northeast. Our goal is a safe, organized and successful event for vendors, shoppers, property owners, volunteers and the community.

This guide answers the most common vendor questions about setup, parking, vehicle access, insurance, permits, security, weather and event policies. Please read it completely before arriving in Warrensburg. Skipping it can mean delays, setup problems, loss of access to certain areas, or a rules violation.

The most important thing to remember

Shopping hours are 7:00 AM to 5:00 PM daily. No vehicles or trailers are allowed in shopping areas during those hours. No exceptions.

If you need your vehicle at your booth, it must be in place before 7:00 AM. Between 7:00 AM and 5:00 PM:

  • Vehicles and trailers may not enter or move through active shopping areas.
  • Late-arriving vendors must park in designated parking areas.
  • Merchandise must be transported to booths by hand, cart, wagon or dolly.
  • If you leave or close your space early, you must carry out all merchandise and supplies. You cannot bring a vehicle or trailer in to load until 5:00 PM.

Vendor success checklist

Before leaving for Warrensburg, confirm you have:

  • Reviewed your space assignment
  • Submitted your Certificate of Insurance
  • Obtained all required permits and licenses
  • Printed or saved your assignment instructions
  • Brought adequate staff to unload and set up
  • Brought tent weights
  • Planned for weather conditions
  • Planned for limited cellular service
  • Brought carts, dollies, wagons or hand trucks if needed
  • Planned where vehicles and trailers will be parked
  • Reviewed event policies and FAQs
  • Packed extension cords if electricity has been specifically approved
  • Reviewed setup and breakdown procedures

Vendor responsibility statement

The World's Largest Garage Sale® is a self-managed outdoor event. Vendors are responsible for their own:

  • Setup and breakdown
  • Staffing and booth operation
  • Merchandise and inventory
  • Insurance coverage
  • Permits and licenses
  • Parking compliance
  • Weather preparedness
  • Security of merchandise and equipment
  • Cleanup and waste removal

The Warrensburg Chamber of Commerce, event staff, volunteers, site attendants, property owners and sponsors are not responsible for managing, operating, securing, staffing, loading, unloading, transporting, setting up or breaking down vendor booths.

By participating, vendors acknowledge and accept responsibility for operating their space safely and in compliance with all event rules and regulations.

Before you arrive

Review your vendor assignment carefully and bring a printed or electronic copy with you. It contains your assigned location, space number, space dimensions, setup day and time, parking information and site-specific instructions.

Setup days and times

Your assignment lists your approved setup day and time. Many locations begin setup on Thursday at 6:00 PM. Other locations may have different schedules, so follow the instructions provided with your assignment. Do not assume early access is available.

If you cannot arrive during your assigned setup time, notify the Chamber as soon as possible.

Check-in and setup

Upon arrival:

  1. Proceed directly to your assigned location.
  2. Check in with the Site Attendant, if present.
  3. Unload your vehicle promptly.
  4. Move your vehicle to designated parking, or within your assigned space if permitted.
  5. Complete your setup.

Site Attendants can

  • Verify assignments
  • Direct you to your assigned space
  • Assist with traffic flow
  • Direct you to parking areas
  • Answer location-related questions

Site Attendants do not

  • Unload vehicles or haul merchandise
  • Move equipment
  • Set up tents or displays
  • Transport inventory
  • Operate booths or watch merchandise

Arrive with enough staff, carts, dollies, wagons or other equipment to transport and set up your merchandise independently.

Shopping hours and vehicle restrictions

Shopping hours are 7:00 AM to 5:00 PM daily, Friday through Sunday. To keep the shopping environment safe, all vehicles, trucks, trailers, carts and unloading equipment must be out of vendor aisles, roadways and pedestrian areas before 7:00 AM, and may not return until 5:00 PM.

All vehicles must be parked within your assigned space, where permitted, or moved to designated vendor parking areas. Planning for this is the vendor's responsibility.

Late arrivals

Vehicles will not be permitted to enter active shopping areas after 7:00 AM. If you arrive after 7:00 AM, park in a designated parking area and transport your merchandise and supplies to your booth by hand, wagon, cart or dolly. No exceptions will be made.

Leaving or closing early

If you have to leave or close your space during shopping hours, you may not bring a vehicle or trailer into the shopping area to load. Everything must be carried out by hand, cart, wagon or dolly to your parked vehicle. Vehicles are only permitted back in after 5:00 PM.

Staff availability

Chamber staff, volunteers and Site Attendants may not be available before 7:00 AM. If you arrive very early, be prepared to locate your space and set up independently.

If you arrive significantly after your assigned setup time, Site Attendants may no longer be available and you will be responsible for locating your space and completing setup on your own.

Vendor location requirement

The World's Largest Garage Sale® is organized around designated vendor locations throughout Warrensburg. All vendors must operate from a designated vendor location secured through the Warrensburg Chamber of Commerce or a participating private property owner.

Vendors may not move through the event area selling goods or services from a vehicle, bicycle, cart, trailer, wagon or on foot. All sales activity must take place from your assigned or authorized location.

This supports public safety, traffic management, fairness to every vendor who paid for a space, and smooth event operations.

Questions about permits, licenses, exemptions, public rights-of-way, or operating on public streets and sidewalks should be directed to the Town of Warrensburg or the appropriate governmental authority. A permit, license or exemption issued by another governmental entity does not change the event's participation requirement regarding designated vendor locations.

Parking

Vendor parking is first come, first served unless otherwise noted on your assignment. Where space permits, vendors may park behind their booths.

Vehicles behind your space must

  • Remain entirely within the assigned area
  • Stay at least 10 feet from fencing and restricted areas
  • Not block driveways, gates, entrances, exits, fire lanes or access roads

Never park in

  • Fire lanes or emergency access routes
  • Driveways or building entrances
  • Loading zones
  • Restricted areas

Additional vehicles may need to use public parking areas. Follow all instructions from event staff, law enforcement, fire personnel and Site Attendants.

Driveways and access roads

Many event locations contain active businesses, service roads, loading areas, emergency access routes and utility facilities. Do not block driveways, gates, entrances, exits, service roads or emergency access routes.

Vehicles parked in restricted areas may be required to move immediately. Failure to comply may jeopardize future use of event locations.

Weather, tents and wind

The World's Largest Garage Sale® is a rain-or-shine event, and Adirondack weather can change rapidly. Be prepared for wind, rain, cold temperatures, warm temperatures and quick swings between them.

Tent requirements

Tent weights are required on paved surfaces. No stakes, spikes, rebar or anchors may be driven into asphalt, concrete, sidewalks, parking lots or any other paved surface.

We strongly recommend properly weighted tents and canopies everywhere. Vendors are responsible for any damage caused by tents, displays or equipment.

Space boundaries

Stay within the boundaries of your assigned space. Do not place merchandise, tables, chairs, displays, signage, racks or tents into roadways, sidewalks, fire lanes, emergency access routes or adjacent vendor spaces.

Space changes will not be made during setup or event weekend except for safety or operational reasons.

Security and overnight storage

The World's Largest Garage Sale® does not provide dedicated overnight security for individual vendor spaces. Vendors remain solely responsible for merchandise, inventory, displays, tents, equipment, vehicles, trailers, cash, payment devices and personal belongings. The Warrensburg Chamber of Commerce assumes no responsibility for lost, stolen or damaged property.

Many vendors choose to remove valuable merchandise overnight, lock trailers, secure displays, cover merchandise, and take cash and payment devices with them. Vendors leaving items onsite do so at their own risk.

Nobody can watch your booth for you

Chamber staff, Site Attendants, volunteers and property owners cannot watch vendor booths, monitor merchandise, handle sales, accept payments, guard equipment or supervise vendor property. This includes restroom breaks, meal breaks, shopping, loading vehicles, or leaving your booth for any reason.

If you are participating alone, make arrangements with a trusted employee, family member, business partner or neighboring vendor to watch your space, and secure your merchandise, cash, payment devices and belongings before you step away.

Electricity, water and internet

Unless specifically arranged in writing, electricity, water and Wi-Fi are not provided. Plan to be self-sufficient.

Credit card processing

With the number of visitors attending, cellular networks may become congested. If you accept credit cards, have a backup payment method available whenever possible.

Generators

Generators must be in safe working condition, be operated safely, not create excessive noise or unsafe fumes, and not interfere with neighboring vendors.

Food vendors, sales tax and permits

Food vendors

Food vendors must maintain all required permits, licenses, inspections and approvals, and comply with all applicable New York State Department of Health requirements, Warren County requirements, fire safety requirements and food handling regulations.

Do not assume water, electricity or waste disposal services are available unless specifically arranged.

Sales tax

Most vendors selling taxable goods in New York State are required to register with the New York State Department of Taxation and Finance. Vendors are responsible for collecting, reporting and remitting any required sales taxes.

Permits and licenses

Vendors are responsible for obtaining all permits, licenses, registrations and approvals required for their business.

Property damage, restrooms and cleanup

Property damage

Vendors are responsible for any damage caused by their vehicles, trailers, tents, canopies, displays, equipment, employees or representatives. Any costs incurred by the property owner or Chamber as a result may become the responsibility of the vendor.

Restrooms

Portable restrooms are located throughout the event. Refer to the event map or ask your Site Attendant for the nearest location, and help keep facilities clean and accessible for everyone. Remember that your booth remains your responsibility while you are away from it.

Trash and cleanup: pack it in, pack it out

Vendors are responsible for removing all trash, boxes, packaging, merchandise, tent materials, pallets, zip ties and display materials. Leave your space in the same condition you found it. Do not leave unwanted merchandise, tents, tables, displays or equipment behind.

Any cleanup costs incurred by the property owner or Chamber may become the responsibility of the vendor.

Insurance requirements

All vendors are required to maintain General Liability Insurance with minimum coverage of $1,000,000 per occurrence.

Your Certificate of Insurance must name the Warrensburg Chamber of Commerce as an Additional Insured.

Failure to provide required proof of insurance may result in cancellation of your vendor space without refund.

Need coverage? Event vendor policies are available through ACT Insurance.

Cancellation, refund and credit policy

If your plans change, notify the Chamber immediately.

Cancellations received on or before August 30 are eligible for a refund less a $50 administrative fee. After August 30, vendor fees are non-refundable unless the Chamber successfully reassigns the space.

No credits or rollovers

The World's Largest Garage Sale® does not offer future event credits, vendor fee rollovers, deferred participation or transfers to future years.

No credits will be issued for future events. No exceptions. We strongly recommend considering Event Cancellation Coverage or an appropriate rider through your insurance provider.

Shopper traffic

The sale attracts thousands of shoppers over three days, but traffic varies with weather, day, time, location and merchandise type. The Warrensburg Chamber of Commerce makes no guarantees regarding attendance, traffic volume or vendor sales. Participation is at the vendor's own business risk.

Traffic is heaviest in the morning and eases through the afternoon. Vendors who stay set up until 5:00 PM still get late-day shoppers, and a half-empty row costs everyone sales. Plan your staffing so you can stay open until close.
