Food Vendor Terms & Conditions

World’s Largest Garage Sale – Warrensburg, NY

These Food Vendor Terms & Conditions apply to all food vendors participating in the World’s Largest Garage Sale. By submitting a Food Vendor Application, vendors agree to comply with these terms and all provisions of the general Vendor Terms & Conditions published by the Warrensburg Chamber of Commerce.

1. Application & Acceptance

Submission of a Food Vendor Application does not guarantee acceptance, placement, or assignment to a specific location. All applications are subject to review and approval by event organizers.

The Warrensburg Chamber of Commerce reserves the right to deny, limit, revoke, or modify vendor participation based on space availability, event layout, safety considerations, regulatory requirements, menu duplication, or failure to meet event policies.

2. Vendor Fees & Setup Size

Food vendor fees are based on maximum setup size tiers selected during the application process.

• Setup size includes all trailers, trucks, hitches, awnings, service windows, generators, and equipment
• Vendors must fit entirely within the maximum dimensions selected
• Setup sizes represent the maximum footprint allowed, not a guaranteed allocation

Vendors whose setup exceeds the selected size may be required to reduce their footprint, pay an adjusted fee if available, or may be reassigned or removed without refund.

3. Location & Placement

Food vendor placement is determined solely by event organizers and is based on availability, safety considerations, regulatory requirements, and overall event layout.

• Location requests may be submitted but are not guaranteed
• Returning vendors may request prior-year locations, subject to availability
• Multiple trailers or units may be placed separately if required by layout constraints

Event organizers reserve the right to adjust vendor placement before or during the event as necessary.

4. Permits, Licenses & Compliance

Food vendors are solely responsible for obtaining and maintaining all required permits, licenses, and approvals, including but not limited to:

• County or state health department permits
• Temporary food service permits
• Any additional approvals required by law

Failure to obtain or present required permits may result in denial of participation or removal from the event without refund.

5. Insurance Requirements

All food vendors must carry valid general liability insurance meeting event requirements.

• Minimum coverage amounts are specified in the Vendor Terms & Conditions
• Proof of insurance must be submitted by the published deadline
• The Warrensburg Chamber of Commerce must be named as an additional insured when required

Failure to provide valid proof of insurance may result in cancellation of participation without refund.

6. Utilities, Generators & Equipment

Electricity and water are not guaranteed at all vendor locations.

• Vendors should plan to be self-sufficient unless otherwise confirmed
• Generators must be properly maintained, quiet, and safely operated
• Fuel storage and generator placement must comply with all safety requirements

Unsafe equipment or operations may result in immediate corrective action or removal.

7. Setup, Operation & Breakdown

Food vendors must comply with all setup, operation, and breakdown times and procedures outlined in the Vendor Terms & Conditions, including:

• Assigned setup windows
• Vehicle access and unloading restrictions
• Required operating hours
• Breakdown and exit timing

Failure to comply may result in penalties or removal from the event without refund.

8. Cleanliness, Waste & Safety

Food vendors are responsible for maintaining a clean, safe, and sanitary operation at all times.

• Trash, grease, and wastewater must be disposed of properly
• Dumping on streets, lawns, storm drains, or public property is prohibited
• Fire safety and open-flame regulations must be followed

Violations may result in immediate corrective action or removal without refund.

9. Conduct & Prohibited Items

Food vendors must comply with all conduct, behavior, and prohibited-item rules outlined in the Vendor Terms & Conditions.

• Subletting or sharing space is prohibited
• Vendors must remain within assigned boundaries
• Unapproved items or activities are not permitted

Event organizers reserve the right to enforce all conduct and safety rules.

10. Cancellations & Refunds

All cancellations, refunds, credits, and administrative fees are governed exclusively by the Vendor Refund & Cancellation Policy published on the event website.

No refunds will be issued outside the terms of that policy.

11. Liability & Indemnification

Food vendors agree to indemnify and hold harmless the Warrensburg Chamber of Commerce, the Town of Warrensburg, event organizers, volunteers, and affiliated entities from any claims, damages, losses, or liabilities arising from their participation.
